filing.win puts public records side by side. You can read the city’s record of a ticket and how hearings on the same charge were decided without telling us anything. This notice says what we collect when you do more, why, who else sees it, how long we keep it, and how to make us stop or delete it.
Who we are
filing.win is run by filing.win, [postal address pending]. Write to us at [contact email pending] about anything in this notice.
What we collect, and why
- Ticket and plate lookups. When you look up a ticket number or a plate, we send it to the City of New York’s public data service (NYC Open Data) to fetch the city’s record. We don’t keep a plate or number you only look up.
- Your letter. If you fill in the letter form, we keep your answers, your words and the name you typed for 30 days so you can come back to the letter. Then we delete them.
- Your email address. If you give us your email address to open the full report on a ticket, we keep it with the ticket number and a record of what you agreed to. We use it to send you the link you asked for, and to let you reopen the report from that link.
- Plate Watch. If you ask us to watch a plate, we keep the plate, its state and your email address. Every day we check the city’s public records for new tickets on that plate and email you when one appears, plus one reminder before day 30 of an open ticket.
- filing.win news. Only if you tick the box for it, we use your email address to send occasional news about filing.win.
- Plate Watch Plus (paid). Stripe handles your payment. We never see or store your card number. Stripe tells us your email address, your plan, whether the subscription is active, and Stripe’s reference numbers for you and your subscription. We keep those to run your subscription.
- Proof of what you agreed to. With each sign-up we keep the exact words you agreed to, the date and time, the page, your browser type, and a scrambled (hashed) form of your internet address. We keep this to show what you asked for and to stop abuse.
- How the site is used. We use PostHog to see which pages and buttons people use and where the site breaks, including short recordings of visits. In those recordings, everything you type and the ticket details on the page are hidden. We also count page views with our own counter (pulse.polyfeeds.dev). We do not send your email address, phone number, plate, ticket number or letter text to either one.
- Cookies. When you open a full report, we set one cookie so the report stays open on your device. It says that you unlocked a report and whether you asked for Plate Watch; it doesn’t contain your email address. PostHog sets its own cookies to count visits.
Who else sees it
Only the companies that run parts of filing.win for us, and only for that job:
- Cloudflare, which carries traffic to our server.
- Resend, which delivers our emails.
- Stripe, which takes payments for Plate Watch Plus.
- PostHog, which counts how the site is used (without your contact details).
- The City of New York’s public data service, which answers ticket and plate lookups.
We do not sell your information. We do not share it with advertisers, data brokers, lawyers or anyone else. If we ever want to share your details with anyone else, we will ask you first, for that specific sharing, and do nothing unless you say yes. We will give information to the government only when the law requires it.
How long we keep it
- Letter answers: 30 days.
- Email address given only to open a report: 12 months after you last asked for or used a report link.
- Plate Watch: while the watch is on, and 12 months after you stop it.
- filing.win news: until you unsubscribe, and 12 months after.
- Proof of what you agreed to: 4 years after the last email we sent you under it.
- Subscription and payment records: as long as tax and accounting law requires.
When we delete your email address, we keep a scrambled copy on a do-not-email list so we never email you again by mistake.
Your choices
- Stop emails: use the stop link in any email, or reply “stop”. We stop right away.
- Stop watching a plate: use the stop link in any Plate Watch email.
- Cancel Plate Watch Plus: use the “Manage or cancel” link in any Plate Watch Plus email, or go to filing.win/watch/manage.
- See, correct or delete your information: email [contact email pending] from the address you gave us. We will answer within 30 days. Some records we must keep for tax law, and we keep the do-not-email list so we can honor your “stop”.
Someone else watching your plate
Plate Watch is only for people who own a vehicle or manage its tickets. If you think someone is using filing.win to watch your plate, write to [contact email pending] with the plate and state. We will check and remove any watch we can’t confirm.
Security
We keep what we collect on a server we control, behind Cloudflare, with access limited to the people who run filing.win. Keys and passwords are kept apart from the code. Internet addresses are stored only in scrambled form. If information that can identify you is ever exposed, we will tell you without unreasonable delay and within 30 days of finding out.
Do Not Track and tracking across sites
filing.win doesn’t track you across other websites, and we don’t let advertisers do so on filing.win. Because we don’t do that tracking, we treat every visit the same way whether or not your browser sends a “Do Not Track” signal.
Children
filing.win is for adults dealing with their own tickets. It isn’t meant for children under 13, and we don’t knowingly collect their information.
Changes to this notice
If we change this notice, we will update the date at the top. If a change affects what we do with information you have already given us, we will email you before it takes effect, and we won’t use your information in a new way without asking.
